01

Why every minute counts

Someone who fills in a form is thinking about studying right then. Call them within a minute and they still have your website open and their questions in mind. Call them the next day and they've already spoken to two other schools, or lost interest.

A study published in Harvard Business Review covering more than 2,000 companies found that those who contacted a lead within the first hour were nearly 7 times more likely to qualify it than those who took longer, and more than 60 times more likely than those who waited a day or more. Even so, average response times are still measured in hours.

How it's calculated

We start from your current conversion and adjust it by how much conversion drops with response time. Contacting in under a minute is the benchmark (100), and we apply this drop:

  • Under 1 minute: 100
  • 5 minutes: 90
  • 30 minutes: 70
  • 1 hour: 60
  • 4 hours: 45
  • 24 hours: 30
  • 48 hours or more: 25

For example, if you take 4 hours today and convert 3%, responding in under a minute you'd convert 3% × 100 ÷ 45 = 6.7%.

04

How to cut your response time

  1. 01

    Measure the real time

In your CRM, compare when each lead came in with the first contact attempt. Check nights and weekends too: that's usually where the problem is.

  2. 02

Connect the form to whoever calls

If a lead goes through a spreadsheet or an inbox before it reaches someone, you've already lost minutes.

  3. 03

Call within a minute, at any hour

An AI agent calls every lead within seconds, answers their first questions and books the interview with your team. If they don't pick up, it messages them on WhatsApp.
