Why start with a map

Most admissions teams don't have a lead problem, they have a time problem: leads come in at all hours, get contacted late, and many never get a follow-up. Before automating anything, it pays to look at the whole process and decide where an AI agent adds the most value and where a person is essential.

The rule we suggest is simple: the agent handles the repetitive and the urgent; your team handles what takes judgment and relationships.

02

The map, stage by stage

This is the typical journey of a lead at an educational institution. Use it as a starting point and adapt it to your process.

Lead comes in
AI agentReaches out within seconds by phone or WhatsApp, confirms the program of interest, and answers the first questions.
Your teamDefines what information the agent should collect and which leads are a priority.
Qualification
AI agentAsks the key questions (degree, start date, format, scholarship) during the conversation and classifies the lead.
Your teamSets the qualification criteria and reviews borderline cases.
Information and questions
AI agentAnswers questions about programs, pricing, deadlines, and scholarships, and sends brochures or documents by WhatsApp or email.
Your teamKeeps the information the agent uses up to date.
Interview or visit
AI agentOffers time slots, books the appointment in the calendar, sends reminders, and reschedules when needed.
Your teamRuns the interview or visit: this is where the personal relationship makes the difference.
Follow-up and enrollment
AI agentFollows up with leads that stall and reminds them of deadlines and pending documents.
Your teamGuides the final decision, negotiates terms, and closes the enrollment.
Old leads
AI agentReactivates databases from past campaigns and identifies who is still interested.
Your teamDecides which segments to reactivate and with what message.

03

Where to add human judgment

A good agent knows when to hand the conversation over to a person. Define these situations from the start:

  • The lead asks to speak with someone on your team.
  • There's a price negotiation, an exception, or a sensitive personal situation.
  • The lead is ready to enroll and should be handled by their advisor.
  • The question can't be answered with the information the agent has.

04

Choose your first use case

Don't try to automate everything at once. Pick a use case with high volume, a clear goal, and low risk. These three usually work well to start:

  1. 01

    Call new leads instantly

This is the use case with the most visible impact: reach out before anyone else, while interest is at its peak.

  2. 02

    Reactivate cold leads

Work with a database you already have that nobody is contacting. Every lead you win back is new business.

  3. 03

    After-hours reception

Answer the calls and WhatsApp messages that currently get lost in the evening, on weekends, or at the height of the enrollment season.

A plan to get started without friction

  1. 01

Week 1 · Prepare your data

Gather your program information, FAQs, and lead database. Use our checklist so nothing gets left out.

  2. 02

Week 2 · Set up and test

We set up the agent with you, and you test it with real calls and messages until it sounds like your institution.

  3. 03

Week 3 · Launch with a small segment

Start with a portion of your leads, review the conversations, and fine-tune as needed.

  4. 04

Week 4 · Measure and scale

Compare contact rate, booked appointments, and response time. If it works, expand to more leads or add a second use case.
