We ask users not to provide personal information that is not necessary to handle their request.

3.2. Technical and browsing data

When the user accesses the website, certain technical data may be collected automatically, including, depending on the technologies used:

  • IP address;
  • device type;
  • browser and operating system;
  • technical identifiers;
  • date and time of access;
  • pages visited;
  • approximate browsing duration;
  • referring source or page; and
  • information about interaction with the website.

The use of certain browsing data will depend on the cookies and technologies enabled and, where legally required, on the consent given by the user.

You can find more information in our Cookie Policy.

4.Purposes and Legal Bases for Processing#

4.1. Handling information and contact requests

When the user contacts us, we process their data in order to receive, manage and respond to their inquiries.

The legal basis will be, depending on the circumstances, our legitimate interest in responding to the communications received or the taking of pre-contractual steps at the request of the data subject.

4.2. Handling demonstration requests and bookings

When the user requests a ReshapeOS demo, we use their data to:

  • manage the request;
  • arrange a date and time;

  • send communications reasonably related to the request.

The legal basis is the taking of pre-contractual steps at the request of the data subject.

4.3. Maintaining commercial and pre-contractual relationships

When a company or professional expresses interest in ReshapeOS, we may process the professional data of its representatives or contact persons in order to manage the commercial relationship, prepare proposals, respond to inquiries and follow up on commercial discussions.

The legal basis may be the taking of pre-contractual steps and, where applicable, our legitimate interest in managing professional and commercial relationships.

4.4. Sending commercial communications

Where applicable, we may send information about ReshapeOS, news, products or services.

These communications will be sent only where there is a legal basis that permits it, including the user’s consent where required or, in the cases permitted by law, a prior relationship that allows the sending of communications about similar products or services.

The user may at any time request to stop receiving such communications by using the unsubscribe mechanism included in them or by contacting us.

4.5. Website security and operation

We may process certain technical data in order to maintain the security of the website, detect fraudulent or abusive activity, diagnose errors and ensure the proper operation of our systems.

The legal basis is our legitimate interest in maintaining the security, integrity and operation of the Service.

4.6. Analytics and measurement

Where we use analytics tools that require consent, the associated data will be processed only if the user has authorized the corresponding cookies or technologies.

The legal basis in these cases will be consent.

The user may withdraw or modify such consent through the cookie settings mechanism available on the website.

4.7. Compliance with legal obligations

We may also process certain data where necessary to comply with legal obligations or requests from competent authorities, or for the establishment, exercise or defense of legal claims.

The legal basis will be compliance with a legal obligation or, as applicable, our legitimate interest in defending our rights.

5.Mandatory Nature of the Data#

Fields identified as mandatory in our forms are necessary to process the corresponding request.

If the user does not provide such data, we may be unable to process a contact request or properly book a demonstration.

Any additional data not identified as mandatory will, in principle, be voluntary.

6.External Services and Providers#

In order to operate ReshapeOS and manage certain features, we may use technology providers that process personal data on behalf of RESHAPE TECH, S.L.

Depending on the services actually enabled, these providers may include:

  • hosting and infrastructure services;
  • email and communications providers;
  • platforms for scheduling meetings and demonstrations;
  • analytics tools;
  • security and maintenance providers; and
  • other technology providers necessary to provide and administer our services.

Where such providers act as data processors, we will put in place the contractual measures required by data protection law.

The mere inclusion of a provider in this category does not mean that the data of every user is necessarily processed by that provider.

7.Analytics Tool#

ReshapeOS may use measurement and analytics tools, such as Google Analytics or other equivalent solutions, to understand in aggregate how our website is used and to improve its operation.

Where these tools involve the use of cookies or technologies that are not strictly necessary, they will be activated in accordance with the user’s consent preferences and with the provisions of our Cookie Policy.

8.Data Obtained from Google Workspace APIs#

When users connect their Google account (for example, Google Calendar) to ReshapeOS, we only access the information strictly necessary to provide the features the user enables, such as checking availability and creating or managing events in their calendar.

The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

You can review this policy at: https://developers.google.com/terms/api-services-user-data-policy

Some of our technology providers may be located outside the European Economic Area or use infrastructure located in other countries.

Where an international transfer of personal data requires additional safeguards under the GDPR, RESHAPE TECH, S.L. will implement the applicable legally established mechanisms, such as adequacy decisions of the European Commission or standard contractual clauses, as appropriate.

Where necessary, you may request additional information about the applicable safeguards by contacting us.

11.Retention Periods#

We will retain personal data only for as long as necessary to fulfill the purpose for which it was collected.

As a general rule:

  • data related to inquiries will be retained for as long as necessary to respond to them and carry out reasonable follow-up;
  • data related to demonstration requests will be retained while the request is being handled and, where there is a potential commercial relationship, for the period reasonably necessary for its follow-up;
  • data related to a contractual relationship will be retained for as long as that relationship remains in force and thereafter for the periods required by law;
  • data used for commercial communications will be retained until the user withdraws consent, unsubscribes or objects to the processing, as applicable;
  • data derived from cookies will be retained in accordance with the periods indicated in the Cookie Policy.

Once the relevant purpose has been fulfilled, the data may be kept duly blocked for the periods necessary to address any potential legal liabilities.

13.Complaints to the Supervisory Authority#

If the user considers that the processing of their personal data infringes applicable law, they have the right to lodge a complaint with the competent data protection authority.

In Spain, the supervisory authority is the Spanish Data Protection Agency (AEPD).

The user may also contact RESHAPE TECH, S.L. beforehand so that we can review and, where appropriate, resolve the matter raised.

14.Security#

RESHAPE TECH, S.L. will implement appropriate technical and organizational measures to protect personal data against destruction, loss, alteration, disclosure or unauthorized access, taking into account the nature of the data, the risks associated with the processing and the state of the art.

However, no system connected to the Internet can guarantee absolute security.

15.Third-Party Data#

Cookie Policy

Last updated: August 20, 2026 · 3 min read

Introduction#

This Cookie Policy explains the use of cookies and similar technologies on the ReshapeOS website.

To avoid duplication, general information about RESHAPE TECH, S.L., the processing of personal data, users’ rights and contact channels can be found in our Privacy Policy.

1.What Are Cookies?#

Cookies are small files or pieces of information that a website may store on the user’s device when they visit it.

Among other functions, they make it possible to remember certain preferences, ensure the technical operation of the website or, where the user authorizes it, obtain information about how the website is used.

For the purposes of this policy, the term “cookies” also includes similar technologies that may be used for equivalent purposes.

2.What Types of Cookies Does ReshapeOS Use?#

The website may use the following categories:

Technical or necessary cookies

These are cookies necessary for the website to function properly and to provide features expressly requested by the user.

They may be used, for example, to:

  • maintain the security of the website;
  • manage certain technical functions;
  • remember preferences related to cookie consent; or
  • enable the proper operation of forms and other essential functions.

These cookies do not require consent when they are used exclusively for technically necessary purposes in accordance with applicable law.

Analytics cookies

These allow us to understand, on a statistical basis, how visitors interact with the website, for example, which pages are visited, how users navigate through them or from which pages users arrive.

Their purpose is to help us understand how the website performs and identify potential improvements.

Where these cookies require consent, they will not be installed until the user accepts them.

Third-party cookies

Some features of the website may rely on services provided by third parties.

For example, if a demonstration is booked through an external platform, that provider may use its own cookies when its service is accessed.

Cookies used directly by an external page or service will also be subject to the terms and policies of the relevant provider.

3.Consent#

When the user first accesses the website, a panel or banner may be displayed allowing them to manage the cookies that require consent.

The user may:

  • accept optional cookies;
  • reject them; or
  • configure their preferences by category.

Rejecting optional cookies will not, as a general rule, prevent the use of the essential features of the website.

Analytics, advertising or other non-necessary cookies will not be installed before consent is obtained where such consent is legally required.

4.Changing or Withdrawing Consent#

Consent may subsequently be changed or withdrawn through the “Cookie Settings” link or panel available on the website.

Withdrawal of consent does not affect the lawfulness of any use made prior to such withdrawal.

The user may also delete cookies through their browser settings. Please note that blocking certain technical cookies may affect the operation of some features of a website.

5.Cookies Associated with External Services#

When the user leaves ReshapeOS to voluntarily access an external service (for example, a platform used to book a demonstration), that service may set its own cookies.

In such cases, we recommend reviewing the privacy and cookie options provided directly by the third party.

If an external tool is integrated directly into ReshapeOS and uses non-necessary cookies, its activation must respect the user’s consent preferences where required by applicable law.

6.Cookie Duration#

Cookies may be:

  • Session cookies: these normally expire when the session ends or the browser is closed.
  • Persistent cookies: these remain stored for a set period or until they are deleted.

The specific duration of each cookie used by ReshapeOS will be indicated in the cookie table of this policy or in the corresponding settings panel.

7.Changes to the Cookies Used#

The technologies used by the website may change as ReshapeOS evolves.

When a tool is added, removed or replaced in a way that involves significant changes to the use of cookies, we will update this policy and, where applicable, request consent again.

The date shown at the beginning of the document indicates the last update.
