Speed-to-lead: call every web lead in under 5 minutes

Connect your form to Reshape so the voice agent calls every new lead within seconds and, if they don't pick up, tries again right away.

What you'll achieve

  • An always-on API campaign for your forms
  • Fast retries designed for brand-new leads
  • Your form or CRM connected to the API and the results webhook

Why call within 5 minutes

Someone who just filled in a form is thinking about you right now. Half an hour later they're busy with something else or talking to a competitor.

×100

more likely to make contact if you call within 5 minutes instead of 30 (MIT, 2007)

×21

more likely to qualify the lead (MIT, 2007)

42 h

was the average time companies took to respond (Harvard Business Review, 2011)

A Reshape voice agent has no office hours, no queue and no "I'll call later": if the lead comes in through the API, the call goes out within seconds, even at 8 p.m. on a Saturday if your calling window allows it.

How it works

  • The lead fills in the form (website, landing page, Meta Lead Ads…).
  • Your form or CRM notifies Reshape through the API with the lead's phone number.
  • The agent calls within seconds, inside the campaign's calling window. If there's no answer, the fast retries kick in.
  • When it's done, Reshape notifies your CRM with the outcome, the summary and the recording.
1

Step 1 of 6

Create an API campaign

Go to Campaigns → New campaign, keep the channel on Voice call and give it a clear name, such as "Speed-to-lead – web form". Under Campaign type, choose API campaign.

The yellow notice is expected: API campaigns are ended manually, because they have no list that runs out.
2

Step 2 of 6

Choose the agent and raise concurrent calls

Voice agent
The one that qualifies and books meetings (in the example, LidIA from ReshapeOS).
Phone number
Required. If you don't have one, add it under My numbers.
Concurrent calls
5 or more. If several leads come in at once, none of them should wait for the agent to hang up.
Retries
4, so you can create the four strategies in step 4.
3

Step 3 of 6

Set a wide calling window

Leads also arrive in the evening and on weekends. For example: Monday to Saturday, 09:00 to 21:00, Spain (Madrid), with Respect the lead's time zone turned on. If a lead comes in outside the window, they get the call as soon as it opens.

4

Step 4 of 6

Set up fast retries

The lead just asked for information and has their phone in hand, so retries are much closer together than in a regular campaign. Turn on Enable advanced retries, set the limit to 5 days and create these four strategies:

Attempt
First call
Channel
Voice

Attempt
Retry 1
Channel

If the outcome is…
Failed call · No answer · Busy

Retry 1: many people see the missed call and pick up the second one.
Retry 2: the WhatsApp message explains who's calling, so the next call isn't from a stranger. It needs WhatsApp connected and an approved template.
Retry 3: tick «No WhatsApp reply», which triggers when the message gets no answer.
5

Step 5 of 6

Connect your form or CRM

Everything is under Integrations → Docs and examples:

  • Generate the API key in API key management and store it safely: it's only shown in full once.
  • Validate it with the API key test.
  • Copy the IDs of the agent, the phone number and the API campaign.

Then make your form or CRM send each new lead to this endpoint, directly or with Zapier, Make or n8n:

POST https://api.reshapeos.com/functions/v1/initiate_conversation
{
  "api_key": "your_api_key",
  "agent_id": "agent_id",
  "phone_number": "+34600123456",
  "agent_phone_number_id": "phone_number_id",
  "campaign_id": "api_campaign_id",
  "crm_lead_id": "lead_id_in_your_crm",
  "metadata": { "name": "Emma", "source": "Web form" },
  "dynamic_variables": { "first_name": "Emma" }
}
  • Phone numbers must always be in E.164 format (+34XXXXXXXXX): anything else is rejected.
  • With campaign_id, also send crm_lead_id, and don't repeat the same combination while the previous call is still active.
  • A 403 error means your minute quota has run out.
6

Step 6 of 6

Get the outcome in your CRM

When each conversation ends, Reshape sends an outgoing webhook (conversation_completed) with the outcome, the duration, the summary and the recording. You can also create event-based webhooks in the Automations tab.

Your webhook must always respond with a 2xx: a 5xx can trigger resends.

If a lead no longer needs a call (they bought, booked another way or asked not to be called), stop them with POST /functions/v1/stop_campaign_leads, passing the campaign_id and the crm_lead_ids (up to 200 per request). Calls already in progress aren't cut off.

Before you launch

  • API campaign with an agent, a phone number and 5 or more concurrent calls
  • Wide calling window and Respect the lead's time zone turned on
  • Retries: 5 min (voice), 15 min (WhatsApp), 3 h (voice) and 1 day (voice), with a 5-day limit
  • Form or CRM sending every lead with an E.164 phone number and crm_lead_id
  • Outgoing webhook saving the outcome in your CRM
  • Contact consent collected in the form (GDPR)
  • End-to-end test with your own number: fill in the form, get the call and check the outcome in your CRM

What to measure

MetricGoal
Time to first callUnder 5 minutes (inside the calling window)
Contact rateWatch it rise as you add fast retries
Contact by attemptIf almost nobody answers on retry 4, remove it
Interest and meetingsCompare them with your previous process (manual calls)
