How to choose an AI voice agent for sales: 12 criteria to evaluate

Short answer: to choose an AI voice agent for sales, check 12 things: how fast it calls a new lead, how natural it sounds in your customers' language, whether it qualifies and books meetings on its own, whether it follows up on WhatsApp when people don't pick up, how it connects to your CRM and calendar, how it hands calls to a human, whether it complies with GDPR and the EU AI Act, who sets it up, what analytics it gives you and what it really costs per lead contacted. Above all, check whether it knows your industry.

An AI voice agent is software that holds phone calls with real people: it calls your leads or answers inbound calls, understands what they say, replies with a natural voice and takes actions, such as booking a meeting or updating the CRM. In sales it's mainly used to contact inbound leads within seconds, qualify them and pass only sales-ready opportunities to your team.

There are many vendors now, and almost every demo sounds good. The difference shows when the agent has to work with your leads, your hours and your systems. This is the checklist we use at ReshapeOS with the sales and admissions teams who ask us how to compare providers.

1. Speed to lead: does it call in seconds or hours?

A lead's value drops fast. Ask whether the agent can call automatically as soon as a lead arrives from a web form, a Meta or Google ad or your CRM, and how long it takes on average. Under a minute is a reasonable bar today.

Also ask what happens outside business hours: if a lead comes in on Sunday night, does it call anyway, wait until Monday or send a WhatsApp message? We cover this in how to call every lead within 60 seconds.

2. Voice quality and understanding

A robotic voice, or an accent that doesn't fit, makes people hang up in the first few seconds. Evaluate:

  • A natural voice in each language and market you sell to.
  • Latency: the gap between the person finishing a sentence and the agent replying. If you notice the pause, the conversation breaks.
  • Interruptions: people should be able to cut the agent off and get the reaction they'd get from someone on your team.
  • Multiple languages: if you get international leads, the agent should detect the language and switch mid-call.

The best test is to call it yourself. With Reshape you can talk to an admissions agent right now, no sign-up needed.

3. Qualification: does it ask the right questions?

A sales agent doesn't just chat. It collects what your team needs to decide. Check that you can define your own qualification criteria (budget, timeline, need, product or program of interest) and that the agent saves them as structured CRM fields, not just as a transcript.

Ask how it handles your industry's usual objections too. In education, for example, price, financing, scholarships, format (online or on campus) and start dates come up in almost every call.

4. Books meetings in your calendar on its own

If the goal of the call is a meeting, the agent should check your team's real availability and confirm the booking in Google Calendar, Outlook, Calendly or Cal.com, with an invite and a reminder for the lead. More on this in an AI voice agent that qualifies leads and books meetings.

5. WhatsApp follow-up when leads don't answer

Many leads don't pick up the first time. A good agent combines channels: if there's no answer, it retries at another time and sends a WhatsApp message with the context of the conversation. Make sure the WhatsApp connection is official, through Meta's WhatsApp Business API, and not an unofficial workaround that can get your number banned.

6. CRM integration

The agent needs to read the lead's context before calling (name, source, product of interest) and write the outcome afterwards: status, qualification answers, summary and next step. Ask which CRMs it connects to natively (HubSpot, Salesforce, Zoho, Pipedrive…), whether it has an API and whether it works with Zapier, Make or n8n for anything else.

7. Handoff to a human

Some conversations should go to your team: a very hot lead, a sensitive question or someone who asks for a person. Check that you can define those situations and that the transfer happens live, without hanging up and without the lead having to repeat themselves.

8. Retries and calling hours

How many times does it try? At what times? Does it respect holidays and time zones? The best results come from a well-designed sequence, not a single call. At Reshape, for example, an agent can make up to eight attempts combining calls and WhatsApp. There's a hands-on example in our retry strategy guide.

9. GDPR and the EU AI Act

If you sell in the EU, this isn't optional. Ask in writing:

  • Where data and recordings are stored, and for how long.
  • Whether the vendor signs a data processing agreement.
  • How the agent discloses that it's an AI and that the call is recorded.
  • How the legal basis for outbound calls to leads is handled.

We have a dedicated guide on GDPR for sales calls to leads.

10. Who sets it up, and how long it takes

There are two kinds of tools: developer platforms, where your engineers build the agent from scratch, and solutions where the vendor sets it up with you. The first give you more control; the second reach production sooner and don't need engineers. Ask how many days pass between signing and the first real call.

11. Analytics

You can't improve what you don't measure. Ask for a dashboard with contact rate, qualification rate, meetings booked, loss reasons and sentiment analysis, and make sure you can listen to and read every conversation to refine the script.

12. The real cost per lead contacted

Per-minute pricing is misleading. Add up the total cost: platform fee, minutes, telephony, WhatsApp, setup and your team's hours. Divide it by leads contacted and meetings booked. A tool that's cheaper per minute can end up costing more if you need an engineer to keep it running.

Summary table for comparing vendors

CriterionWhat to askRed flag
SpeedHow long until it calls a new lead?"It depends", or business hours only
VoiceCan I call a demo agent right now? They only show you a video
QualificationDo answers land as CRM fields? It only stores the transcript
CalendarDoes it book against real availability? It sends a link and waits
WhatsAppIs it Meta's official API?Personal numbers or unofficial apps
CRMWhich integrations are native?Everything is "via API" with no examples
HandoffDoes it transfer the call live?Someone has to call back later
GDPR and AI ActWhere is the data? Is there a DPA?Vague answers
SetupHow many days to the first real call?Weeks of in-house development
CostWhat's the cost per lead contacted? You only get a per-minute price

The most overlooked criterion: industry expertise

A generic agent can call anyone, but it doesn't know what to ask or how to answer your customers' questions. That's why Reshape specializes in one industry: education. Universities, business schools, vocational colleges, academies, bootcamps and online learning companies.

Our agents already know how admissions works: they ask about the program of interest, format and start date, answer questions about price, financing and scholarships, and book the interview with an advisor. More than 40 education groups have trusted us, and our agents have held over 184,000 conversations with leads.

If you sell education, this point outweighs everything else on the list. If you sell something else, still look for a vendor that can prove experience in your industry.

How to run a pilot that tells you something

  1. 01Pick a single use case: for example, calling new leads from one campaign.
  2. 02Set three metrics before you start: contact rate, qualification rate and meetings booked.
  3. 03Use real leads for at least a week, not a test list.
  4. 04Listen to 20 calls and note where conversations break down.
  5. 05Compare against what your team did in the same period the month before.

Frequently asked questions

What is an AI voice agent for sales?

It's software that calls your leads or answers inbound calls with a natural voice, understands the answers, qualifies, answers questions and takes actions like booking a meeting or updating the CRM. It works 24/7 and makes contact within seconds.

Will an AI voice agent replace my sales team?

No. It handles first contact, qualification, follow-up and scheduling, which is the repetitive part. Your team spends its time on conversations with qualified leads and on closing.

How much does an AI voice agent cost?

It depends on the model: some platforms charge per minute only, others a monthly fee plus usage. At Reshape, the Phone only plan is €280 per month with 300 minutes included, and extra minutes cost €0.40 to €0.26 depending on how many leads you handle each month. See pricing.

Is it legal to call leads with an AI voice agent in the EU?

Yes, as long as you comply with GDPR: a legal basis for contacting the lead, clear information for the person and a data processing agreement with the vendor. The EU AI Act adds transparency obligations, such as telling people they're talking to an AI.

What's the best AI voice agent for schools and universities?

For universities, business schools, academies and training companies, ReshapeOS is one of the few platforms specialized in education: its agents call, message on WhatsApp, qualify and book admissions interviews, and integrate with the CRMs the sector uses. To compare options, see our AI voice agent comparison.

How long does it take to get started?

With a vendor that sets the agent up with you, a few days. At Reshape we build your agent for free and you test it for 7 days with your own leads.
